Plan stakeholder engagement is the process of developing approaches to involve project stakeholders based on their needs expectations, interests and potential impact on the project. The key belief is that it provides an actionable plan to interact effectively with stakeholders.
The stakeholder engagement plan is updated regularly to reflect changes to the stakeholder community. There are common triggers or situations that will cause you to update the plan such as:
o When it is the start of a new phase of the project
o When there are changes to the organization structure or within the industry
o When new individuals or groups become stakeholders
o Current stakeholders are no longer part of the stakeholder community
o The importance of particular stakeholders to the project’s success changes
o When things like change, risks or issues come up requiring new stakeholder engagement strategies
When you plan your stakeholder engagement, there are some things that you should consider when understanding the stakeholders. These elements can lead to additional threats or opportunities for project outcomes. You need to analyze aspects of each stakeholder’s position on and perspective of the project. Some of these aspects are:
o Degree of influence
o Proximity to the project
o Interest in the project
Now once you do that, yep there is another step, you must prioritize the stakeholders after you analysis. It is common to focus on stakeholders with the most power and interest, but keep in mind that this can come and go throughout the project lifecycle.
And finally ask yourself how you are going to moinitor your stakeholder because you do have to become a bit of a stalker. The degree of stakeholder satisfaction can often be determined by having a conversation in order to gauge their feelings on the progress of the project deliverables. Have you even been in a situation where someone says it was going well on email but when you talk with them 1:1 it’s a whole different story? That’s where your interpersonal skills come in so you can get the full and hopefully honest truth about how your stakeholder is feeling. Also note, 1:1s isn’t the only tool you can use. You can take a survey or have focus groups, just be sure to have the tops buy in to get everyone involved.
